I am a Compliance Manager in ABAX Group having responsibility for instance of our ISO certifications, modelling and building integrated QMS for our 3 ISO standards (9001, 14001 and 27001).

Challenge
What was your problem, and what challenges prevented you from easily solving the problem?
Our previous online QMS needed very technical training to be able to model or edit it, only few persons had the knowledge and license with editing rights, documents were difficult to share resulting employees downloading them on their own computers so updates didn’t reach them really.
How did you find out about our solution? Did you consider other providers? What criteria did you use to select BPA and Microsoft?
We decided to search for a SharePoint based solution thinking it would be easy to maintain, build and share as we prefer many MS Office solutions already. So our Head of IT found BPA Solutions and after seeing few video examples of different modules we got curios and hooked – BPA Solutions fixed many of our criteria and fits exactly to ABAX vision “Simply Connected”!
What was the solution? How did it address your challenges?
Quality & Risk module combines nicely our requirements being compliant for all our three ISO standard requirements, it was easy to use, build, modify and share.
Strategy
How did you implement the solution? How long did it take? What new challenges did the implementation create?
We configured first main and sub processes, roles, documents, ISO requirements, KPIs and built document approval flows. After that we have taken in use already Nonconformity, Risks & Opportunities and lately Audit module. There are still modules to be configured before we are completely ready, such as Management Review and dashboards and reporting as well as improving the already implemented modules.
All in all we have been enrolled with BPA Solutions now 1,5 years and I would estimate we are 80% done. I would have hoped we could have started with modern SharePoint configurations from day 1 and that we wouldn’t have had delays due to the pandemic.
I’d advise new customers to have fully dedicated position for implementation and many support hours purchased in order to keep the speed. BPA Solutions’ way of organizing set up sessions is really good. Something is done in beginning by them, I add and configure by myself utilizing video recording of our meeting and advise when I’m done and can move on to next module or modify current. However I miss additional video tutorials, inspiration from other companies how they resolved f.ex. some ISO requirements and their experience of best practices.
Results
What results did you gain from BPA Solutions – both anecdotally and measurably?
Easy ISO compliance for 9001 Quality Management, 14001 Environmental Management, 27001 Information Security Management in addition to basic Health, Safety and Environment requirements.
We’ve had online system before, but easiness both in use and configuration (especially the modern QMS), shareability.
Was there anything spectacular about how easy it was to deploy, or engage employees?
Classic QMS was more technically demanding – though easier than our previous system – but the modern QMS is child’s play!
Employee engagement is partly my task, but making QMS colorful, following company profile so they have it easy to recognize as “ours” makes things easy.
