Here is a game-changing use case for all organizations willing to develop collaborator skills and improve overall performance with no manual work needed. How does it work concretely?

When a document is published or revised, Q generates a training form with AI-generated questions based on the document content. Once approved by the document responsible, the form must be answered by each recipient from the distribution list. Q verifies, asks incorrect questions again and suggests the correct responses, developing collaborator skills on important procedures. When needed, recipients can ask the document responsible to verify answers. Every step of this process is of course reported by Q in the QMS.

The user experience is just fantastic. Since behind the scenes there are preconfigured workflows automating the whole process, recipients are promptly alerted in Teams to view documents and reply training questionnaires in one single frame. The whole process happens in Microsoft Office and leverages tools already used daily by collaborators.

Is it compliant with ISO 42001 and European AI Act?

The recent ISO 42001 (AI Management) and European AI Act were taken in consideration while developing this use case. With humans supervising important AI decisions, we comply with these regulations. In our case, we let document responsible verify and approve AI generated questions. Later in the process, we let him verify recipient answers, on request. On Power Automate, we have all the needed granularity to adapt workflows and comply with regulations.

Why use GenAI for training processes?

GenAI is excellent at providing context to relevant questions based on the document content. New questions are proposed each time the workflow runs. Q is very efficient in verifying answers and suggesting correct responses. The whole process saves several hours of manual work for each new document or version.

As a result, the process enforces efficient training for all collaborators on all important policies and procedures. Since no manual work is needed to prepare and deliver training, more training can be achieved, therefore strengthening company skills and performance while reducing costs.
